What we collect
Account details you give us (name, email, mobile number, password); profile details you choose to add (skill level, DUPR rating, playing hand, home club, city, a profile photo, and your date of birth, which stays private as explained below); booking and open play history; payment references for manual payment methods; free-text messages you send us or a club; and basic technical data such as your device type, browser, IP address and pages viewed, which we keep in an internal activity log for up to a year.
Payment data
Online payments are processed by PayMongo, our payment processor. We do not see or store your full card, bank or e-wallet (such as Maya or GCash) credentials — PayMongo handles those directly and shares with us only the payment status and a transaction reference. If you pay a club directly in person or by manual bank/wallet transfer, we store the reference number you provide so payments can be matched and verified.
How we use it
To confirm and manage your bookings, send session reminders and receipts, run waitlists, calculate and pay out amounts owed to hosts and clubs, prevent fraud, and improve the platform. We do not sell your personal data.
Who sees it
Clubs and hosts see the details needed to run your session — your name, contact details and payment status for that session only. Other players on the same roster see your display name; anything else on your player profile is private unless you choose to make it public.
Date of birth
Adding your date of birth to your profile is optional. We ask for it only so a tournament division with age limits (for example, ages 50 and up) can check that you can enter, using the age you will be on the event's first day; without it you can still enter divisions that have no age limits. Your date of birth is private: only you and our site admins can see it. It is never shown on your public player card, on rosters, or to other players, and tournament organisers and clubs only see that your age was checked, not the date or your age. You can change or remove it at any time under Edit Profile.
Location information
As a player, we only ask for your device's location when you check in with a club's self check-in QR and that club has turned on its location check. Your browser asks your permission first. The position is used once, to confirm you are within 200 m of the club's map pin, and is not saved. If you say no, you can still check in at the front desk. Your city is a text field you fill in yourself, used to show you nearby courts. Each club places a pin on a map to mark where its venue is; that pin is public club information, shown on the club's page and on the Courts map. If a club owner or admin presses "Use my location" while placing that pin, their browser asks their permission first, and the position is used once to put the pin on the map. Only the venue pin they save is kept, never their own location.
Maps and directions
Maps on this site use map data from OpenStreetMap, served by OpenFreeMap (openfreemap.org). To show a map, your browser loads the map directly from OpenFreeMap, so OpenFreeMap receives your IP address and the part of the map you are looking at, as any website you visit would. A map only loads when there is one on the page you are viewing. When a club owner or admin searches for their venue while placing its pin, the search words are sent from our server to OpenStreetMap's search service (Nominatim); your IP address is not passed on. The Directions buttons open Google Maps, which is covered by Google's own privacy policy once you leave our site.
Retention
Booking, payment and payout records are retained as long as needed for accounting and dispute resolution, since these also serve as our financial records. Technical activity logs are kept for up to a year and then removed automatically.
Your rights
You can ask to see, correct, or delete the personal data we hold about you at any time. This is a manual request, not an automatic download or delete button — contact us at support.pikolmaester@gmail.com and we will act on it, though some records (like payment history) may need to be kept for legal or accounting reasons even after a deletion request.
